Roster Statuses

Roster Statuses play a crucial role in managing Roster Periods, defining the current state of a roster and its associated actions.

Important

Out of the box, the environment will have newly generated statuses: Draft, Published, and Revised, based on the original Roster Status Reason option set, and these can be updated to change their behaviours. It is recommended that unused statuses be deactivated, as they will be re-added in subsequent updates.

Create New Roster Status

  1. Navigate to PowerRoster App > Rosters > Settings > Roster Statuses.

  2. Select +New.

  3. Fill in the required fields and Save.

    Enter the Name of the Roster Status

    Colour

    Use Colour coding for each status

    is Starting Status

    When set to 'Yes', this status becomes available for selection on newly created Roster Periods. If only one Roster Status record is marked as 'Yes', it is automatically allocated to the Roster Period upon creation

    is Period Applied To Resource Calendar

    Is Period Applied to Resource Calendar:(Removed/Ignored OR Applied). This Boolean field indicates whether related Roster Position Instance records during the Roster Period should be written to or removed from the Working Hours Calendar. When this status is first selected, the Roster Period will be scanned by the Working Hours Calendar engine, which will also monitor subsequent changes to the set of related Roster Position Instances.

    is Action Required

    When loading a Roster form, if there is one or more Roster periods with a Roster Status that requires action, a notification banner is displayed to draw the user's attention. This is recommended for situations involving an approval process or change request during a period. Additionally, a Roster period view is available that filters records based on whether action is required.

    is Period Locked

    When set to 'Yes', the system prevents updates to Roster-related data during the selected Roster Period. This includes the Roster itself, Roster Positions, Roster Position Allocations, Roster Position Allocation Segments, and Roster Position Instances. Users will receive an exception message indicating that the related Roster Period is 'Locked' and that the update is not permitted. If changes are necessary during a locked period, it is recommended to select an 'Action Required' status to unlock the period and allow the changes to be reviewed.

  4. Allowed Transitions section

    Roster statuses that can be transitioned to, can be added to this section in order to control the allowed statuses. For example, Revised Roster Status can be transitioned to Draft and Published as shown below.
