Assisted Scheduling for a Single Requirement Group with Multiple Requirements

Launching vGroup Scheduler

  1. Click ‘vGroupScheduler’ button available on the ribbon at the top either after –

  • Choosing the specific ‘Requirement Group’ to be scheduled from the Requirement Groups View OR

  • From within the ‘Requirement Group’ record itself which is to be scheduled

    This will launch the ‘vGroup Scheduler’.

    vGroup Scheduler button appears on the ribbon upon selection of at least one Requirement Group.

Understanding Pre-Populated Data

  1. After launch, the scheduler window is auto-filled with information from the requirement group.

Significance:

  • Reduces manual setup

  • Ensures scheduling aligns with requirement constraints

  • Uses requirement-level data as the baseline for matching

Configuring Advanced Settings

  1. Click the cog icon in the resource search query area to access additional settings.

Significance:

  • Fine-tunes search performance

  • Controls result volume and quality

  • Allows inclusion of group-level skill requirements

Resource Matching & Time Slot Selection

  1. vGroup Schedler proposed available time slots sorted by date.

  2. Clicking a time slot displays matched resources on the right side.

  3. vGroup Scheduler automatically matches resources to each of the requirements considering Skills, Roles, Group Requirements and Availability within the Promise Window.

Significance:

  • Ensures optimal resource allocation

  • Aligns selections with all requirement constraints

  • Speeds up scheduling decisions

Reviewing and Adjusting Resource Selection

  1. Review the system’s suggested resource assignments

  2. You can modify the resource selection by

  • Removing a resource

  • Add a new resource

  • Adjust filters and re-run search for more results

Significance:

  • Provides flexibility beyond automation

  • Enables planners to override system suggestions when needed

Resource Count Validation

  1. RULE: You cannot proceed unless the number of selected resources matches the number of requirements in the requirement group.

  2. The ‘Next’ button remains disabled until the condition is met.

Significance:

  • Ensures all requirements are fulfilled

  • Prevents partial or invalid scheduling

  • Maintains data and scheduling integrity

Proceeding to Booking Creation

  1. Once the resource selection is valid, click ‘Next’ to move forward.

  2. Select Booking Method. Default is ‘Front Load Hours’ and you can choose different Booking Methods for the bookings. Significance for all the Bookings Methods are exactly same is Dynamics 365 Field Service OOTB Booking Methods.

Significance:

  • Controls how booking durations are applied

  • Provides flexibility in scheduling strategy

System Checks Before Bookings

Validation Checks:

  • Work order dependency checks

  • Booking rules validation

Booking only proceeds if no violations are found

Significance:

  • Prevents conflicts and invalid scheduling

  • Ensures compliance with business logic

  • Maintains operational consistency

Create Bookings

  1. System creates bookings for the requirement group.

  2. User is notified on the vGroup Scheduler once all the bookings are created.

  3. vGroup Scheduler window closes automatically.
